SCHED Schedule Details:
By this point in time, all speakers should have registered for a MEAD Speaker Registration Ticket at Eventbrite, which is linked to your SCHED account. (You MUST do this first to ensure both platforms are ready to go!)
As Speakers, Sched offers you Speaker Tools to manage your session:

- When you log in (https://mead2025.sched.com/) to view your schedule, you should see a banner above the schedule that says: "You're speaking at this event! Manage & promote your sessions" (https://www.screencast.com/t/Dia0rdKFbkL)
- This takes you to "My Speakers Sessions" where you can see all the sessions that you are PRESENTING. You can click on your sessions to review the details, check enrollment numbers, and select "Speaker Tools" if you would like to update your profile or upload documents ( by clicking "Add Presentation" ) for participants to access before/during/after your session.
- Make sure you select the sessions you would like to attend, INCLUDING YOUR OWN!
This may sound confusing in writing, but you will easily see how it works when you log in and explore. The important thing is that you fully understand your schedule for the day, including sessions you are PRESENTING and sessions you are ATTENDING.
Materials for Conference:
Please bring all materials and technology you need to host your session, including a laptop, video adapter for connecting to the project/panel (HDMI or USB-C), handouts, markers, manipulatives, etc. Most classrooms will have a projector or Promethean Panel for presenting your slides.
To find the room number of your session, simply go to your schedule on the Sched App and click on the session. Then, scroll down to find the room number:
- There will be a Hospitality Room provided for you if you need to drop off materials or grab a snack in between your sessions. It will be located in the Teacher Lounge next to the Cafeteria.
- If you are presenting during Session C (10:40 AM - 11:40 AM ), we will have reserved tables for you at the Keynote Luncheon in case there is little seating by the time you arrive.
Directions and Parking:
Below are drop-downs with maps and directions on how to help you during MEAD.
Below you will find Maps and Directions for the day of MEAD. This includes Parking at Tyndall Garage, Directions to the High School, Parking for the Luncheon, and Directions to find the Grand Ballroom.
- If you have any materials necessary for your sessions as an IN-PERSON Presenter, you may drop them off in the morning at Tucson High.
- There will be a Hospitality Room provided for you if you need to drop off materials or grab a snack in between your sessions. It will be located in the Teacher Lounge next to the Cafeteria.
- After the morning conference sessions, we will provide a shuttle bus to then transport you from THMS to the Keynote Luncheon, and the back at the end of the day.
- For the Keynote Luncheon, we DO NOT recommend parking at the 2nd Street Garage due to other UA Campus events occurring that raise the price to $15-20..
- For those who need disability access or special assistance, you will find parking just west of 2nd Street Garage in Lot 3140.
Session Links and Zoom Hosts for Virtual Speakers:
You can find Zoom links for all sessions (including the keynote address) in Sched.
On the morning of MEAD, you can go to your session, click on the yellow “Open Zoom” button, register, and access your session.
- 15 minutes before your session, a Zoom Host (UA personnel) will already be in the Zoom room to welcome you from the Waiting Room.
- Your Zoom Profile name must be accurate so the Zoom Host knows to let you in while leaving attendees in the Waiting Room.
- Once you are in your Zoom room, the role of Host will be passed on to you and you have a few minutes to get set up.
- Please prepare to let participants in as soon as you are ready (at least 5 minutes before your session begins)!
- The UA Personnel will remain in your session to assist you. They are problem solvers who can communicate immediately with CRR Staff if needed. In order to open their next session, they will need to “End Meeting for All” on time.
**Note: Only the original Host can create Zoom Polls. If you are using a poll, please quickly work with your Zoom Host to create it before the session begins.
SUMMARY OF TIMING FOR SESSIONS:
- 15 Minutes Before your session: Zoom Host opens your session room and watches Waiting Rooms for your arrival (your name must be accurate!)
- 5 Minutes Before your session: Let attendees in from the Waiting Room to start your session on time.
